Participant Roles

Track how members attended — Ministry Team, Congregation, and more. Configured per activity type and recorded on every check-in.

How it works at check-in

If the activity type is set up with participant roles, members will be asked to tap their role after checking in — for example, Ministry Team or Congregation. If you have no specific role, tap No Role to be assigned the default and proceed straight to the confirmation screen.

Ushers and admins can assign or update any member's role directly from the Attendance → Attended tab at any time after check-in.

Sermon Post Generator

Create a 1080×1080 sermon graphic for Facebook in seconds — right from the app. Pick a colour theme, fill in the sermon details, and download a ready-to-post image.

How it works

Head to Sermon Post in the sidebar. Fill in the sermon title, series, scripture, key quote, service time, and venue. The app pre-fills the venue and minister from your Sunday Service schedule automatically.

Choose a colour theme or let the app auto-detect one from the sermon text. Upload a background photo, pick the minister, and highlight one or more title words in the theme's accent colour by typing them in the Highlight Word field (separate multiple words with commas or spaces).

The graphic previews live as you type. When it looks right, hit Download Image to save a PNG ready for Facebook.

About WIN-CMS

National Church Platform

WIN-CMS is a national management system for Word International Ministries. Every local church operates within the same platform, giving national and district leaders visibility across all churches while each church manages its own data independently.

Activities & Participant Types

Every church event is recorded as an Activity with its own attendance record, date, minister, and type. Participant Types describe how someone attended a specific activity — for example, as part of the Ministry Team or as a Congregation member — giving leaders a clearer picture of engagement.

Members, Visitors & Guests

A Member is a registered WIN church member with an account. A Visitor is a WIN member from a different church who attends your service. A Guest is a first-time or occasional attendee who is not yet a WIN member — they are recorded separately and tracked for follow-up.

Reports

Admins can generate printable reports directly from the system — member lists, demographic breakdowns, and per-activity attendance reports with counters, participant type summaries, and full attendee lists. Reports are designed to support decision-making at the local church and national level.

Church Website

Every church on WIN-CMS gets an automatically generated public page. It displays the church's name, location, senior pastor, leadership, and ministry teams — no separate website needed. Admins can customise it with a YouTube video background, an about section video, and social media links directly from the system.

Built to Grow

WIN-CMS is designed to expand with the needs of the ministry. Attendance, member management, and reporting are the foundation — finance tracking, giving records, inter-church coordination, and more are planned for future releases.

Getting Started
1

Members sign up

Every regular member signs up using their Google account or phone number. This gives them their own profile in the system and a personal QR code for check-in.

2

Create an Activity

Admins create an Activity for each event (e.g. Sunday Service, April 6). Set the date, time, minister, and activity type.

3

Check people in

Ushers can check members in by scanning their personal QR code using the QR Kiosk, or by searching their name manually from the Attendance page. Members can also check themselves in through the Self Check-In page. First-time attendees are registered as Guests, and WIN members from other churches are checked in as Visitors.

4

Review attendance

See a live count of attendees, late arrivals, demographics, and a full list of who attended — all updated in real time. Print a full attendance report directly from the activity.

5

Generate reports

Admins can generate and print member reports and demographic breakdowns from the Reports page to track church growth over time.

How to Use QR Check-in

Members — Get your QR code

1

Open your Profile

Tap Profile in the sidebar menu.

2

Find your QR code

Scroll down to the My QR Code section. Your personal check-in QR code is shown there.

3

Show or save it

Show the QR code on your screen to the usher, or tap Download QR Code to save a copy to your phone or print it.

Ushers — Use the QR Kiosk

1

Open Attendance and select an activity

Go to the Attendance page and choose the activity you are checking people into.

2

Open the QR Kiosk

Tap the QR Kiosk button above the member search list. The kiosk setup screen will open.

3

Confirm the activity and start

The activity you selected is pre-filled. Tap Start Kiosk to open the camera.

4

Switch camera if needed

On phones and tablets, the front camera opens by default so members can hold their phone up to the screen. Tap ↺ to switch to a different camera if needed.

5

Scan member QR codes

Point the camera at a member's QR code. The check-in happens automatically and a thank-you popup appears with the member's name.

6

Exit the kiosk

Tap the ✕ button in the top-right corner to return to the activity selector, or use the back link to return to the Attendance page.

Participant Roles

Participant Roles let your church track how someone attended — for example, whether they were part of the Ministry Team or came as part of the Congregation. Roles are configured per activity type by admins and recorded on every check-in for reporting.

1

Admins configure roles per activity type

Go to Admin → Activity Types, tap the configure button on any activity type, and add the roles that apply (e.g. Ministry Team, Congregation). Mark one as the default role.

2

Members select their role after checking in

After being checked in — by QR scan, manual check-in by an usher, or self check-in — members are shown the available roles and tap the one that applies. On the QR kiosk, tapping No Role assigns the default role automatically.

3

Ushers and admins can update roles at any time

Open the Attendance page, switch to the Attended tab, and tap Assign or Change next to any member's name to set or update their role for that activity.

4

Role counts appear in reports

Participant role totals are stored on the activity and will be available in reports, letting you see how many people attended in each capacity.

Participant Roles at the Kiosk

1

Select your role when prompted

If the activity has participant roles configured, a role selection screen will appear after your QR code is scanned. Tap the role that applies to you for this event — for example, Ministry Team or Congregation.

2

No specific role? Tap "No Role"

If you are unsure or do not have a specific role for this event, tap No Role. The default role will be assigned and the check-in confirmation will appear right away.

3

Tap to dismiss the confirmation

After checking in, a thank-you screen confirms your name. Tap anywhere on it to close it immediately so the next person can scan — or it will close on its own after a few seconds.
